Enrolment and payments: from the calculated fee to the balance collected
The short answer
An enrolment fee is calculated from the subject, the level, the packs, the member discount and the fees. The family pays online or on site; the payment status — paid, partial, pending — stays attached to the learner file.
What goes into calculating a fee
Six elements, applied automatically at the moment of enrolment.
- Subject × level — Each subject is priced according to the student's level, drawn from your enrolment reference data.
- Subject packs — Subject bundles apply their pack price automatically, with no manual calculation.
- Member discount — The discount reserved for member families is deducted by default, for every eligible student.
- Fees & tax — Enrolment fees and tax are built into the gross amount shown to the family.
- Instalments — Payment can be spread over your instalment schedule, with the deposit collected at enrolment.
- Waiting list — A waitlisted student shows at $0 and doesn't enter billing until a place opens up.
The payment methods accepted
Online or on site, every payment joins the same file.
| Method | How it is recorded |
|---|---|
| Cash | Payment recorded manually by management. |
| Cheque | Entered manually, with status paid / partial / pending. |
| Bank transfer | Reconciled and recorded on receipt against the file. |
| Card | Deposit collected online during public enrolment. |
The four possible states of a payment
The status updates with every transaction, with no intervention.
| Status | What it means |
|---|---|
| Paid | The amount due has been collected in full. |
| Partial | A deposit or an instalment is collected, a balance remains due. |
| Pending | No payment recorded so far. |
| Cancelled / Failed | The transaction did not go through or was cancelled. |
What online enrolment replaces
Three makeshift tools that teams often end up stacking.
- The enrolment spreadsheet — No more shared Excel file that drifts out of sync, nor pricing formulas copied from one year to the next.
- The manual till — No more discounts calculated by hand: the amount due, the deposit and the balance recompute with every transaction.
- Scattered follow-ups — The status of each payment (paid, partial, pending) is visible right next to the application.
Frequently asked questions
Enrolment and payments: from the calculated fee to the balance collected
Is the price really calculated automatically?
Yes. From your reference data (subjects × levels, subject packs, discounts, enrolment fees, tax), Nezam calculates the amount due for each student at the moment of enrolment. The family sees a clear summary before paying; you have no manual calculation to redo.
Which payment methods are supported?
Transactions can be recorded as cash, cheque, bank transfer or card. You collect the deposit online at enrolment, and management can also enter a payment manually. Each transaction has a status: paid, partial, pending, cancelled or failed.
Can management create an enrolment manually?
Yes. From the web workspace, management can create an enrolment session for a legal guardian, select subjects per student and collect a manual payment. These are the same calculation and waiting-list rules as in the public journey.
